Running a business involves making important decisions, juggling tasks and constantly working on moving forward. While all of this can be exciting, it can also feel overwhelming. Sometimes, it can feel like you’re busy all the time but not really getting anywhere, almost like the wheels of a car stuck in mud.
Being overwhelmed by all the tasks and responsibilities can make it difficult to stay focused. Naturally, you might then find yourself working longer hours just to keep up. But this doesn’t mean you’re being productive.
I am going to dive into the top three productivity challenges that many business owners experience and share some simple strategies you can use to overcome them to be able to work more efficiently.
Lack of Systems and Processes
Handling numerous tasks and responsibilities without clear systems in place, is the easiest way for things to go wrong. Whether it's managing team communications or keeping up with your to do list, a lack of organisation can create unnecessary chaos. Business owners without streamlined systems spend excessive time managing the tasks that drag them into the ‘weeds’ instead of focusing on growing and scaling their businesses.
Establishing clear systems and processes is the first step to becoming more efficient. This could include creating templates or automating and setting up workflows for common tasks. You can use different software to support you with all these tasks. Once you have the right system in place, you will notice that you have more time to focus on tasks that sit within your zone of genius.
Procrastination
How many times do you put off some of the tasks on your never ending to do list? It’s common to start procrastinating when faced with bigger projects or tasks which are not in your zone of genius. As a result, you shift your focus onto other tasks which are easier to complete and are more enjoyable for you. This then delays your decision making process and slows down the progress of achieving your goals.
Breaking tasks into smaller and more manageable pieces is the first step to overcome procrastination. Setting clear and SMART goals for each workday or workweek, will support you in feeling less overwhelmed. Implementing a time blocking technique will be very useful here – it involves allocating specific time slots for each task so you stay on track and truly productive.
Fear of Delegating Tasks
Many entrepreneurs struggle with the idea of losing control over certain processes and tasks. Do you find it really difficult to hand tasks over as you’re certain that you’ll complete them better and faster yourself? This can lead to burnout when juggling too many tasks and projects at the same time.
The key to overcoming the fear of delegation is building trust and understanding that you don’t need to do everything yourself. Start by identifying tasks that can be delegated and then start looking for the right person – this can be a part time or full time employee or a freelancer such as a Virtual Assistant or Online Business Manager. Once you start delegating, you’ll free up your time and see its positive impact on your productivity.
Every entrepreneur faces productivity challenges, but the key to success is learning how to overcome them. By automating and delegating tasks and understanding how to overcome procrastination, you can regain control and reclaim your time to focus on long term goals.
